What is FileX?

FileX was designed to provide users an option when there is need to transfer large or zip file attachments. For further instructions and links please go to our FileX web page. When prompted for a username and password, use your Foundation e-mail account credentials.

General Information


How do I login?

To login to FileX just click on the My Service Desk link from the Computing Services home page, when prompted use your SDSURF e-mail address and password.


Why do I need my RedID associated with my e-mail account?

The new version of FileX has been designed to maintain usage (uploaded files and invitations) records based on your personal unique identifier, in this case your RedID. Without a RedID you will not be allowed to generate invitations or upload new files. To ensure your RedID is associated with e-mail account click on the My Network Account link once you have logged in to My Service Desk.


Will links from the old FileX continue to work?

Links for file downloads and invitations will continue to work during the transition period. The transition is scheduled to end Friday April 4th.


Does FileX have file type limitations?

Not at this time. Previously blocked file types will be allowed. If it is determined any allowed file type has become too dangerous to be transfer through FileX it will blocked.


Does FileX have file size limitations?

There are no file size limitations but FileX does limit the amount of time used to upload a file. Currently all file uploads are limited to a 45 minute upload. Any file uploads requiring more time to upload will produce and error once the 45 minute mark has been reached. Users outside the University network will slower upload time and thus will be limited to uploading smaller files.



File Upload Process


How do I upload a file?

Once your RedID has been associated with your e-mail account, proceed to logon to FileX. From the main FileX page click on the "Upload New File" link. From the File Upload page browse to the file you wish to upload. If you would allow the file to be downloaded multiple times, enable the appropriate check box. If you want to secure the file link select Require PIN to download file. Click Upload to transfer the file to our servers. Once the file has been uploaded you have the option to sending an e-mail with the generated link to yourself or directly to your intended recipients. If you selected Require PIN to download file in the previous window make sure you write down the PIN provided in the summary page.


Why would I want to allow multiple downloads?

This option allows uploaded file(s) to remain on the server for 30 days. During those 30 days the file(s) may be downloaded by any user you have sent the download link to. When this is not the desired affect and this option is not enable the file is expired after the first download. Expired files are deleted overnight.


Should I require a PIN to download my file?

Requiring a PIN provides an additional layer security. This option generates a unique PIN that will be required by anyone using the download link to download the file. It is recommended you DO NOT include the PIN in the e-mail sent the with the generated download link.


Can files remain on the server longer than 30 days?

Yes. Files uploaded with the "Allow Multiple Downloads" option enabled may have the expiration date intended up to three times. Each extension extends the expiration date by 30 days.


I lost a file download link, what can I do?

If you or the intended recipient for any reason cannot locate the e-mail with the download link, you have the ability to resend the link. First logon to FileX and locate the file in the Uploaded Files list. Once you have located the file click on the associated "Resend" link. You will be redirected the appropriate web page where the link may be sent to you or directly to the intended recipient.


How may I determine if a file has been downloaded?

From the main FileX web page a summary is generated of all the active files that have been uploaded by you or for you. Each file listing includes the number of times the file has been downloaded as well the date and time of the last download.



Invitation Process


What is a FileX Invitation?

FileX Invitations are for when there is a need for someone to transfer a file to you. None SDSURF e-mail users don't have the capability to logon and upload a file. The Invitation process provides a mechanism that you initiate giving that outside user the ability to upload files directly to you. Invitations by default are intended for a single use, meaning they will expire after the first time they have been used. For invitations requiring a longer time period make sure to select the "Send as an Open Invitation" option. This will allow the invitation to be used for 30 days.


How can I generate a new invitation?

Once your RedID has been associated with your e-mail account, proceed to logon to FileX. On the main FileX page click on the "Generate New Invitation" link. Then simply type in the senders e-mail address and if you need the invitation to be used more than once enable the "Send as an Open Invitation" option. Finally click on the Send Invitation button.


Can more the one person use an invitation?

Yes, but this is not recommended as it will not allow you to determine who has used the invitation link.


Is there a way to verify an invitation has been used?

Yes, on the main FileX page a view will be generated of all active invitations. This will show the number of time an invitation link has been used and the date and time of the most recent use. If for the any reason an invitation is used by multiple users you will not be able to determine what user has used it.


Is there a way to extend the life of an invitation?

Yes, from the main FileX page a view will be generated of all active invitations. Locate the the invitation you wish to extend and click on the "Extend 30 Days" link. You may extend an invitations experiation date up three times. Each extension add another days to the expiration date.


I lost the invitation link, what can I do?

If for any reason an invitation link needs to be resent, locate the link in the main FileX page. Click on the invitation's associated "Resend" link. This will resend the invitation to the original intended recipient.
